Tasks and Responsibilities
- Handles administrative tasks around the office
- Answers the telephone, direct calls to relevant person, receive messages and relay to relevant person
- Receives clients and visitors in a courteous manner and respond to enquiries. Refer enquiries to appropriate person when necessary.
- Receives, sorts and forwards incoming mail.
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
- Assists in the ordering, receiving, stocking and distribution of office supplies.
- Assist units with the filing of documents
- Assist with clerical duties such as photocopying, scanning, printing etc.
- Assist with running errands (stand-in person must be available)
- Manage the procurement of office supplies at the right quantity, quality and at minimal cost
- Prepare regular reports on office purchases and send to manager
- Provide administrative support for matters relating to the office premises and business operations including security, opening and closing of office premises, cleaning and transport
- Other responsibilities as designated by Manager
Experience & Qualifications
- Degree in related discipline, preferably – Administrative discipline
- Minimum HND or BSc degree
- 1-2 years’ experience in a professional work environment
Skills
- Good planning and organizing skills
- Knowledge of Company policies and procedures
- Proficient in the use of MS Word, Excel
- Good telephone etiquette
- Good secretarial and administrative skills
