Tasks and Responsibilities
  • Handles administrative tasks around the office
  • Answers the telephone, direct calls to relevant person, receive messages and relay to relevant person
  • Receives clients and visitors in a courteous manner and respond to enquiries. Refer enquiries to appropriate person when necessary.
  • Receives, sorts and forwards incoming mail.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  • Assist units with the filing of documents
  • Assist with clerical duties such as photocopying, scanning, printing etc.
  • Assist with running errands (stand-in person must be available)
  • Manage the procurement of office supplies at the right quantity, quality and at minimal cost
  • Prepare regular reports on office purchases and send to manager
  • Provide administrative support for matters relating to the office premises and business operations including security, opening and closing of office premises, cleaning and transport
  • Other responsibilities as designated by Manager
Experience & Qualifications
  • Degree in related discipline, preferably – Administrative discipline
  • Minimum HND or BSc degree
  • 1-2 years’ experience in a professional work environment
Skills
  • Good planning and organizing skills
  • Knowledge of Company policies and procedures
  • Proficient in the use of MS Word, Excel
  • Good telephone etiquette
  • Good secretarial and administrative skills
